Personal data is processed in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data (GDPR) and the Polish Act of 10 May 2018 on the Protection of Personal Data.
WHAT DATA WE COLLECT
When using the ILO online store, we may collect the following personal data:
- full name
- e-mail address
- residential or delivery address
- telephone number
- payment information (handled by external payment providers — we do not store card payment data)
- navigational data: purchase history, pages visited, links clicked, preferences
- technical data: IP address, domain name, browser type, operating system, access time
In the case of entrepreneurs, the scope of data is extended to include:
- company name
- VAT identification number (NIP)
We obtain information about users through:
- voluntary completion of forms on the website

PURPOSE AND LEGAL BASIS FOR DATA PROCESSING
We process your personal data for the following purposes:
- processing orders and providing services — legal basis: Article 6(1)(b) GDPR (performance of a contract)
- handling complaints and returns — legal basis: Article 6(1)(b) and (c) GDPR (performance of a contract and legal obligation)
- issuing invoices and maintaining accounting records — legal basis: Article 6(1)(c) GDPR (legal obligation)
- marketing of ILO products and services, including the newsletter — legal basis: Article 6(1)(a) GDPR (consent), which may be withdrawn at any time
- analysing website traffic and improving the quality of services — legal basis: Article 6(1)(f) GDPR (legitimate interest of the controller)
- pursuing or defending against claims — legal basis: Article 6(1)(f) GDPR (legitimate interest of the controller)
DATA PROTECTION
We make every effort to ensure that your data is secure. We apply appropriate technical and organisational measures to protect data against unauthorised access, loss, modification or disclosure. Access to data is granted exclusively to authorised persons who are obliged to maintain confidentiality.
SHARING PERSONAL DATA
In order to process orders and provide services, we may share your personal data with trusted third parties, solely to the extent necessary to perform a specific service:
- payment service providers (e.g. PayU, PayPal, bank transfer operators)
- courier and logistics companies
- accounting office and tax advisors
- providers of marketing and analytical tools
- hosting and IT service providers
All our partners are obliged to maintain confidentiality and to process data solely in accordance with our instructions and applicable law. Service providers are based primarily in Poland and in countries of the European Economic Area (EEA).

DATA RETENTION PERIODS
We retain your personal data for the period necessary to fulfil the purposes for which it was collected:
- data related to order fulfilment — for the duration of the contract and until the statute of limitations on claims expires (as a rule, 6 years)
- accounting and tax data — for 5 years from the end of the tax year, in accordance with applicable law
- data processed on the basis of consent (e.g. newsletter) — until consent is withdrawn
- data processed for analytical purposes — for the period specified in the settings of the analytical tools used

Our online store uses cookies — small text files saved on your device that enable the correct functioning of the website, personalisation of content and traffic analysis. We use the following types of cookies:
- essential — necessary for the correct functioning of the store (e.g. shopping cart, login)

- right to withdraw consent — if we process your data on the basis of consent, you may withdraw it at any time without affecting the lawfulness of processing carried out before its withdrawal
- right to lodge a complaint — if you consider that we are processing your data unlawfully, you have the right to lodge a complaint with the President of the Personal Data Protection Office (UODO), ul. Stawki 2, 00-193 Warsaw

PROFILING AND AUTOMATED DECISION-MAKING
